How it is worked out

The working, step by step.

  1. Enter your business’s name, address and GSTIN. Your state is read from the GSTIN’s first two digits.
  2. Enter the customer, and their state — the place of supply.
  3. Add each item: a description, the HSN or SAC code, the quantity, the rate, any discount and the GST rate.
  4. Each line is quantity × rate less the discount — the taxable value — and GST on the taxable value.
  5. Same state: the GST is split half CGST, half SGST. Different states: all of it is IGST.
  6. The total is rounded to the rupee, with the round-off shown, and written in words. Set how long the quote is valid, add your terms and download it.

What each field and each line of the result means, where to find it, and what to do if you do not know it.

GSTIN

The 15-character GST registration number, such as 29ABCDE1234F1Z5. Its first two digits are the state code, which is how the generator knows your state.

Leave it empty if you are not registered for GST — and set the GST rate on each item to 0%.

Check a GSTIN (GST portal)

Place of supply

The state the supply is made to — for goods, usually where they are delivered; for most services, where the customer is. It decides CGST and SGST against IGST.

HSN / SAC code

The classification code for goods (HSN) or services (SAC). A tax invoice needs it; on a quotation it is optional, but it tells the buyer which GST rate applies.

For example: 998313 is IT consulting (SAC); 8471 is computers (HSN).

GST rate

The GST percentage on the item, set by what it is. Since 22 September 2025 most goods and services are at 5% or 18%, a few luxury and sin goods at 40%, and some essentials at 0%.

Discount

A percentage off the line, taken before GST, so GST is charged on the discounted price.

Taxable value

Quantity × rate less the discount — the amount GST is worked out on.

CGST and SGST

When you and the place of supply are in the same state, GST is split in two equal halves: central (CGST) and state (SGST).

For example: 18% GST inside Karnataka is 9% CGST and 9% SGST.

IGST

Integrated GST — charged at the full rate, in one line, when the place of supply is in a different state from yours.

Round off

The paise added or dropped to make the total a whole rupee — shown as its own line so the arithmetic still checks.

Valid until

The last day the prices hold. After it the quotation is no longer an offer, and the price can be revised.

What is the difference between a quotation and an invoice?

A quotation is an offer, made before the sale; an invoice asks for payment after it. The quote says what the price will be and for how long it holds. Nothing is owed on a quotation, and no GST is due on it — the tax falls due when you invoice.

CGST and SGST, or IGST?

It depends on the two states. If your business and the place of supply — usually the customer’s state — are the same, charge CGST and SGST, half each. If they differ, charge IGST at the full rate. The calculator works it out from the states you pick.

Is a GSTIN needed on a quotation?

If you are registered, put it on. It tells the buyer they can claim the input credit. A business below the GST threshold is not registered, cannot charge GST, and should set the GST rate to 0%.

How long is a quotation valid?

As long as it says. Fifteen or thirty days is usual; the generator sets thirty and you can change it. After the date, the price is no longer an offer.

What is the difference between a quotation and a proforma invoice?

A proforma invoice is sent once the buyer has agreed, often to arrange payment or an import licence; a quotation comes first, while they are still deciding. Neither is a tax invoice.
