Facto Lite vs Asana for Teams Under 100

By Darshan Shah, Co-founder and CPTO, FactoChecked against the product on

What is a simpler Asana alternative for a small business?

For a team whose work is daily and repeated rather than project-shaped, Facto Lite is simpler: tasks with an owner and a reviewer, checklists raised on schedule, and CRM and payroll on the same login. Asana is stronger for big projects across teams, with timeline views, forms and approvals, priced per user.

Which one fits

Each is the better buy, somewhere.

Stay with Asana if

  • You run big projects across several teams and plan them on a timeline
  • You need approvals and proofing for creative or client work
  • You want forms that feed requests into projects
  • You want rules and automations you build yourself

Choose Facto Lite if

  • Most of your work is the same jobs, every day or week, handed to the same people
  • You want every task signed off by a reviewer without paying for a higher plan
  • You want tasks, payroll and sales follow-ups on one login
  • Your team is under 100 and wants a price that holds within a band

Asana is work management for teams that run projects: launches, campaigns, client work with many hands on it. It's strong at planning, with timeline views, forms, rules and, on its higher plans, approvals. A lot of small businesses don't run projects, though. They run the same jobs every day and every month, and they need those jobs done on time by the right person.

Picking an Asana alternative for everyday work

Look at your own work for a week. If most of it is new, with stages and dependencies, Asana fits. If most of it repeats, the shop opening, the monthly filings, the weekly stock count, you want something that raises those jobs by itself and checks they were done.

Asana repeats tasks too. By its own page, the next task is created when the last one is completed. Facto Lite raises repeating tasks and checklists on a calendar instead, so a missed one doesn't hold up the next.

A year of repeating work, counted

The payroll filings alone show why this matters. For the 2026-27 tax year, our payroll engine lists 28 dated deadlines for a business registered for PF and ESI, from 15 Apr 2026 to 15 Mar 2027:

FilingDeadlines in the year
PF return12
ESI payment12
Quarterly TDS return4

That's 28 tasks nobody should have to remember to create. Set up once as repeating tasks, each has an owner, a reviewer and a date, and a repeat that falls on a holiday can be skipped or moved. The full list, with dates, is on our compliance calendar.

Where Asana is the better buy

If you plan work on a timeline, Asana is the stronger tool; Facto Lite has no Gantt chart and no time tracking. Asana's forms feed requests into projects, its rules automate hand-offs, and approvals and proofing on its Advanced plan suit creative and client work.

Facto Lite is the better buy when you want every task signed off by a reviewer on the one plan, when checklists need photo proof, and when the same people also need payroll or sales follow-ups. For meetings, following up on meeting action items shows how actions become tasks with an owner.
