Facto Lite vs Trello for Delegating Work

By Darshan Shah, Co-founder and CPTO, FactoChecked against the product on

Is Trello good for delegating work to staff?

Trello is good for seeing work on a board, and its free plan covers up to 10 collaborators in a Workspace. For handing work to staff, Facto Lite adds what a board leaves to habit: a reviewer who signs work off, checklists raised on schedule, and one list of what is overdue.

Side by side

The marker says which side is better at each row. Where Trello wins, it says so.

Which one fits

Each is the better buy, somewhere.

Stay with Trello if

  • Your work is project-shaped and moves across a board
  • Ten or fewer people collaborate, and the free plan is enough
  • You like building your own rules, buttons and Power-Ups
  • You work with people outside the company on shared boards

Choose Facto Lite if

  • You hand work to staff and want somebody to sign it off before it counts
  • The same jobs come round every day or week and should raise themselves
  • You want one overdue list, not a scan of every board
  • You also need attendance, payroll or sales follow-ups on the same login

Trello is how a lot of teams first get work out of their heads and onto a screen. Boards, lists and cards are easy to understand, and the free plan covers up to 10 collaborators in a Workspace. The question for an owner is different, though: when I hand this to somebody, how do I know it got done, and done properly?

What a Trello alternative for delegation needs

Delegation isn't the same job as organising a project. You hand a piece of work to one person, it has a date, and somebody checks it before it counts. Trello can do a lot of this. Cards take members and due dates, checklist items get their own owner and date on the Standard plan and above, and a card can repeat with the Card Repeater Power-Up.

What Trello leaves to habit is the sign-off. A card is marked complete with the check on the card itself. Facto Lite adds a reviewer to every task, and the task isn't done until they approve it.

A month's payroll deadlines, handed out

Take an example. An accounts assistant at a 25-person firm owns the payroll filings. These are the October 2026 deadlines, worked out by the same payroll engine Facto Lite runs:

TaskDueRepeats
File the PF return for October15 Nov 2026Monthly
Pay ESI for October15 Nov 2026Monthly
File the Form 138 for Q2 2026-2731 Oct 2026Quarterly

In Facto Lite, each of those is a repeating task with the assistant as owner and the owner of the business as reviewer. If the 15th lands on a holiday, the repeat can be skipped or moved rather than landing on a closed office. Every date for the year is on our compliance calendar.

Where Trello is the better buy

If your work moves across a board, from idea to doing to done, Trello shows it better than a list does. Facto Lite has no board view and no Gantt chart. Trello's automation lets you build rules, buttons and scheduled commands in every Workspace, and its free plan will carry a small team a long way.

Facto Lite is the better buy when the work is the same jobs every day or week, handed to staff, and you need proof it happened. Checklists can ask for a photo, and they're reviewed before they count. Daily checklists staff actually complete goes through how to set them up.

Questions

Asked often, answered here.

Is Trello free?

Its free plan is, for up to 10 collaborators per Workspace, by Trello’s pricing page. Paid plans are per user. Facto Lite has no free plan after its 60-day trial.

Can Trello repeat a task?

Yes. Its Card Repeater Power-Up copies a card on a schedule, and a card’s due date can reset when it is marked done. Facto Lite raises checklists on schedule and gives each one an owner.

Does Facto Lite have boards?

No. Tasks are lists with owners, dates and priorities, and there is no Gantt chart. If you think in boards, Trello suits you better.

Who signs off a task in Facto Lite?

The reviewer you name on it. The task is not done until they approve it, and the timeline records who approved and when.
