Policies

The rules, set once and dated.

  • One policy for the whole company, and one per shift where a shift works differently
  • A minimum before a day’s extra time counts — thirty minutes unless you set another
  • Early starts counted or not, your choice, and recorded either way
  • An optional weekly cap: hours past it are paid at the ordinary rate under a component you name, and the week starts on the day you choose
  • A policy is changed by adding a new one from a later date, so a past month is never re-worked under today’s rules

Rates

Double is the floor, not a setting somebody might forget.

  • A rate for a working day, a weekly off and a holiday, and a night rate on top
  • A night that is also a holiday takes the higher of the two, never both multiplied
  • A rate below twice the ordinary rate is refused when it is saved, citing section 59 of the Factories Act
  • The hourly rate is worked out from full monthly pay, allowances included, over 208 hours

Resolving the month

One pass, in a fixed order, safe to run again.

  • Time before the shift and time after it are counted apart, so an unpaid break is never overtime
  • The daily minimum, then the kind of day, then the weekly cap, then the rate, then rounding
  • A week that spans two months counts in the month it ends in, never against two caps
  • Run it again after a correction: months already sent or decided are left alone
  • Approvers are told when somebody goes past the weekly cap

Approval

Checked by one person, signed off by another.

  • Approval switched on per policy
  • A supervisor checks the month and sends it for the team; a different person approves it
  • A month that needs approval and has none pays nothing — it never falls back to the raw hours
  • A rejection carries a reason that the sender and the employee both see
  • Attendance corrected after approval: the old claim is marked superseded, a new one needs approving, and the approver is told

What it does not do

Easier to read now than to discover in week three.

  • Overtime is part of HR & Payroll, not a product on its own. There is no overtime-only plan; the price below is the whole module’s.
  • Approval comes after the work, not before. There is no request to work overtime ahead of time, and there is one approval level rather than a chain.
  • Comp-off is a separate leave credit for working a weekly off or a holiday. It is not offered in place of overtime pay.
  • There is a weekly cap and no quarterly one, and no eligibility setting by grade: everybody with attendance under a policy is resolved.
  • The register is hours, not a filled-in statutory form. The wage-rate and amount-paid columns a state form asks for are not in it.

Can a supervisor approve their own team’s overtime?

No. The person who sends a month and the person who approves it are different people. Nobody can approve overtime until the permission is granted, and you choose who holds it.

What if attendance is corrected after the month is approved?

The approved claim is kept but marked superseded, a new claim for the corrected hours needs approving, and the original approver is told. The check runs every day, and can be run on demand.

Can we pay more than double?

Yes. Any rate from double upwards can be set. A rate above double is paid as extra hours at double, so the hours on a payslip can read higher than the hours worked — the line’s note shows the real hours.

Does it work with a biometric reader?

Yes. Overtime is worked out the same way from gate taps as from a phone check-in — first tap in to last tap out, against the same shift and the same policy.
