Delegation

A task is one piece of work with a name against it.

  • An owner, a due date, a priority and a reviewer who signs it off
  • Sub-tasks and dependencies, so an order of work can be stated
  • Watchers and a comment thread, so the conversation stays on the task
  • Photo and file evidence attached before it can be closed
  • A timeline on every task: who changed what, and when

Checklists

The work that comes round again, handed out by the system.

  • Templates with items, categories and an evidence requirement per item
  • Daily, weekly, monthly and custom recurrence, raised on schedule
  • One owner or several, and a handover when somebody is deactivated
  • Progress per item, so a half-done checklist reads as half done

What it does not do

Easier to read now than to discover in week three.

  • There is no Gantt chart and no resource levelling. Tasks are a list with dates and owners, not a project-planning tool.
  • There is no time tracking against a task. Attendance records hours for a person, not for a piece of work.
  • Tasks has no written guide yet, so it is the one module with no pages in the help centre.

Does everybody need an account?

Anybody who owns a task or a checklist does. A Viewer can be given read-only access if somebody only needs to see what is happening.

What happens to somebody’s work when they leave?

Deactivating a person offers to hand their tasks and checklists to a replacement, and the handover is recorded on each one’s own timeline.

Can a task require a photo?

Yes. An item can require evidence, and it cannot be closed without it. A reviewer can be named separately from the owner.

Does it work on a phone?

Yes. The whole product is built for a phone as well as a desktop, and it can be installed to a home screen.
