Expense claims
The company’s money that somebody spent.
- A claim with one line per expense — category, amount, date and the department it belongs to — and the bill attached
- Categories with a policy limit per claim, per month or per year, each set to warn or to block
- A submission deadline after the expense, and likely duplicates flagged
- A department budget that warns or blocks when spend goes over it
- GST on each line classified when the claim is filed, so a later correction never rewrites a return already made
Trips and advances
Money committed before the spend, and settled after it.
- Trips approved before they are booked, with claims filed against them
- A travel advance paid out and settled by the claims that follow, never paying the same rupee twice
- Per diem by destination, expense type and role, and mileage by vehicle class, each dated from a day
- Advances that go overdue, aged in buckets you define
Reimbursements

- Benefit components — fuel, phone, books, meals, leave travel — with an annual entitlement per role
- How each is paid decides how it is taxed: against a bill, as a voucher, or as cash, with the tax-free limit where the law sets one
- A benefit year of your choosing, apart from the leave year, with notice before it ends
- A year-end settlement per component — lapse, carry forward, or pay out and tax — previewed before it runs
Loans and petty cash
Money lent, and money held.
- Loan types with a maximum, a longest term and flat or reducing-balance interest — both costs shown to the borrower before they ask
- A salary advance is a loan type with no interest and a short term, repaid from pay on a schedule that runs itself
- Approving a loan and paying it out are separate permissions, and paying out is what fixes the dates
- Petty cash floats per department, reconciled against what the book says
Approval and payout
The decision, and then the money.
- A separate approver for a claim, a trip, an advance, a benefit and a loan — a manager can approve a loan without seeing salaries
- A second level for larger amounts, and an escalation when a request waits too long
- Approved claims paid in a batch: generate the bank file, upload it, come back and record that it was paid
- Or routed to be paid with salary, in which case the claim lands in the payroll run instead
- An accounting export at month end

- Expenses is part of HR & Payroll, not a product on its own. There is no expenses-only plan; the price below is the whole module’s.
- There is no corporate card feed and no bank statement import. A claim is filed by the person who spent the money, with the bill attached.
- Receipts are attached, not read. Nothing extracts an amount or a date from a photograph of a bill; the person filing types them in.
- Claims and payouts do not post to a ledger. There is an accounting export at month end; Facto Lite is not a books-of-accounts system.
