Building a quote

From the catalog, not from memory.

  • Lines from your product catalog, or typed freely — quantity, unit price, discount and tax on each
  • A discount per line, and a flat discount on the whole quote
  • Tax on each line taken from the product’s rate, and an HSN list with default rates
  • Created from a deal, carrying its account and currency across
  • Any currency you switch on, rupees by default, with rates updated twice a day

Price books

The right price for the right customer.

  • Price books for a kind of customer, a territory, named accounts or everybody — valid between dates you set
  • Quantity bands, so a line re-prices when its quantity crosses a band
  • A price typed by hand is marked as set by hand and never overwritten
  • The price book used is stamped on the quote, so a later price change never re-prices a quote already sent

Status and expiry

What happened to it, without asking.

  • A sent quote past its valid-until date is marked expired overnight, and valid-until dates sit on the CRM calendar

What it does not do

Easier to read now than to discover in week three.

  • Quotations are part of the CRM, not a product on its own. There is no quotation-only plan; the price below is the whole module’s.
  • The customer cannot accept or sign from the link. They tell you, and your side records the answer.
  • Tax is one rate per line. The PDF does not split CGST, SGST and IGST, and does not print HSN codes or the amount in words.
  • There is no invoice, no e-invoice and no payment collection. Bank and UPI details are printed on the quote; money is not taken through it.
  • There is no discount approval and no revision history. A quote is edited as a draft; once it is sent, only its notes and terms change.

Can the quote go out on our letterhead?

Yes. Your logo, legal name, GSTIN, bank details, stamp and signature are set once in your company settings, and every quote prints with them.

Can different customers get different prices?

Yes. A price book can apply to a kind of customer, a territory or named accounts, with quantity bands, and the quote uses the one that fits.

Can the customer accept it online?

No. The link shows the quote and its PDF; the customer replies to you, and whoever owns the deal records it as accepted or rejected.

Does a won deal have to be typed up again as an order?

No. Winning the deal makes the sales order from the latest accepted quote, with its lines and totals exactly as quoted.
